An annual APAM supply agreement should preserve the grade that operations qualified while defining how demand and deliveries will be managed. A fixed chemical-family name and annual tonnage leave important questions about code substitutions, documents and receiving acceptance unresolved.
Connect the contract to the qualification file
Reference the approved supplier code, specification revision, agreed test definitions and packaging. Identify the application record that defines preparation, useful dose band and plant acceptance.
Do not write laboratory performance as an unconditional guarantee across all feed conditions. Preserve the qualified feed envelope and a process for reviewing material changes in ore, water, production chemistry or equipment.
Distinguish forecast from committed orders
State expected consumption range, shipment size, delivery cadence, destination and ordering notice. Clarify which values are planning forecasts and which obligations belong to individual purchase releases.
Agree quotation validity, currency, named delivery location and responsibility boundaries through the actual commercial documents. Do not assume that freight, unloading, duties or insurance are included because a price is described as delivered.
Specify release and receiving records
List the shipment documents, lot identification, agreed COA results and package marks. Establish how damaged or nonconforming material is held and who can authorize release.
Use the APAM receiving and quality plan to keep checks consistent with qualification. A new acceptance method introduced only after delivery can create disputes without showing whether the supplied grade changed.
Put substitutions under explicit review
Require notification of proposed changes in code, formulation or relevant manufacturing specification, test method, form or packaging. Define the information needed and who decides whether a retained-sample comparison or new plant trial is required.
Do not allow a catalogue reclassification to replace technical approval. Where a second source is permitted, identify its qualified code and changeover conditions rather than accepting any product carrying an APAM label.
Plan continuity and investigation
Agree contact routes for shortages, delays and suspected lot issues, with responsibilities and evidence to collect. Set practical inventory based on actual consumption and storage constraints; do not treat an unverified stock claim as a continuity plan.
Submit demand and technical requirements through the repeat-supply APAM enquiry. Keep terms subject to written agreement by the responsible parties. A clear supply record protects the approved application and makes later price or grade changes easier to evaluate.
